Vendor Terms & Conditions

Application and selection

To make this an unforgettable fair and ball we need vendors to make it special and unique. If you want to be part of this kingdom for one night you are more than welcome to apply.

First round

Until the 3rd of November 2026. We will inform everyone no later than the 15th of December if you have been selected.

Booth information

Booth size: 3 x 2 meters.
Max. 3 people per booth.

Included:

• 1 table
• Chairs
• Electricity for lights or small devices.

You are allowed to customize your booth as long as everything (including the stock, you and other people from your table) fits within your booth space.

Pricing

Current pricing is shown on the vendor application form.

Event schedule

• Booth set up (if fair and ball): 08h00
• Doors fair: 13h
• Doors fair close at: 17h30
• Break to clean up and reset.
• Doors ball: 18h30
• End fair: 22h30
• End ball: 00h00
• Event ends: 01h00

Vendors only for the ball can set up starting from 16h in the upstairs room but will be asked to clean up by 20h15.

Catering

Soft drinks and small snacks are provided during the openings of the fair room. A team of volunteers will be appointed for your care. They will check in regularly to take drink requests or to approach if you need something else.

How do we select vendors?

As this is a fantasy event where we would like people to find things that can't be found in store, we are looking for:

• Vendors with hand crafted products
• Artists selling their own original work
• Authors that sell their own books
• Items that fit the fantasy / bookish theme of the event.

Please understand that resellers will generally not be selected.

Promotion & social media

• If you are accepted we will announce you on our website and social media.
• We will tag you in the announcement. Please feel free to share this.
• A discount code will be given to share with your followers.
• Feel free to reach out if you want to organise giveaways or promotional activations for our ticketholders. We are willing to set things up together.

Important notes

• Vendors applying for both events on the day (fair & ball) will be seated in the vendor hall on the ground floor.
• The vendors only coming for the ball will be seated in the room where the ball will take place. This room will be cleared at 20h to make place for the ball.
• You are more than welcome to stay for the ball as long as you clear your booth before 01h.
• Vendors will be responsible for their own way of receiving payment.
• Vendors will have to provide their own way to receive money.
